Ask an accountant what takes up most of their time and the answer is often the same: chasing documents. The bank statement is there, but half the invoices are missing. The client replies "I'll send it over this weekend". The month closes late, the VAT return is prepared in a rush, and the year-end review inherits suspense accounts that keep growing.
AI agents do not do the bookkeeping for the firm. They can, however, take over the most mechanical part of the work: requesting, matching, reminding, spotting, writing a first draft. This article describes the uses that work in a firm, and the rules to set so you stay within professional ethics.
What an AI agent does (and does not do) in a firm#
An AI agent is a program that carries out a specific task using your tools: email, spreadsheet, Google Drive or OneDrive, exports from your accounting software. It reads data, applies the rules you give it, prepares messages or documents and reports back.
What it does not do: it signs nothing, it does not replace the accountant's judgement, and it must not be presented to the client as advice. It prepares the work; the firm reviews it and takes responsibility for it.
The uses that work well share one thing: a high volume of small, identical actions spread across dozens or hundreds of client files.
Collecting documents without chasing by hand#
The most useful template for a firm is often the simplest. Every month, for each client, the agent compares bank transactions with the supporting documents uploaded, builds a precise list of what is missing and sends it to the client. Then it follows up, on fixed dates, until the month is closed. That is the Client document collection template.
The difference from a generic reminder ("please send us your documents") is huge: the client receives a list of specific lines, with date, amount and description, and knows exactly what to look for.
On the 3rd, 10th and 17th of each month, for each client listed in the "Portfolio" tab of my Google Sheet, compare the transactions on the bank statement in their Drive folder with the month's supporting documents. Send the client the list of transactions without a document (date, amount, description), in a friendly tone and with the signature of the accountant in charge. On the third reminder, alert the accountant instead of writing to the client.
For clients who prefer WhatsApp to email, the agent can use that channel if you connect it. On the client side, the Monthly pack for the accountant template even lets a very small business prepare its own submissions to the firm.
Each client's tax calendar#
VAT depending on the regime, corporate tax instalments, local business tax (CFE), the DAS2 fee declaration, the annual tax return: in France, every client has its own calendar, and the firm has to make sure nothing is missed. A calendar agent reads your portfolio (tax regime, year-end date, accountant in charge), calculates upcoming deadlines, alerts the accountant a few days ahead and sends the client a reminder of what to provide. That is the Client tax calendar template.
| Deadline | What the agent does | For whom |
|---|---|---|
| Monthly or quarterly VAT | Reminds the client which documents to provide before the firm's cut-off | Client |
| Corporate tax instalments | Alerts the accountant with the previous year's amount | Accountant |
| Local business tax (CFE) | Reminds of the deadline and checks whether the notice has been received | Client and accountant |
| Tax return and annual accounts | Prepares the backward schedule from the year-end date | Accountant |
Legal dates change and depend on each client's situation. The agent applies the calendar you keep in your portfolio; it is up to the firm to keep it accurate. For VAT specifically, the VAT return preparation template gathers what the return needs.
Spotting anomalies before the review#
The review is when you discover duplicates, suspense accounts that were never cleared, inconsistent VAT on a foreign supplier. A review agent reads the general ledger or the audit file (FEC) exported from a client file and produces a list of annotated review points: entries in suspense accounts, probable duplicates, unusual VAT rates for a supplier, recurring round amounts, entries posted on unusual dates. That is the Accounting anomaly review template.
It is neither an exhaustive check nor an audit opinion. It is a systematic first pass that directs the reviewer's time towards the lines that deserve it.
How to word the review rules#
The more precise your criteria, the more useful the list. A few examples of rules to give the agent:
- flag any balance on suspense account 471 above a threshold you set;
- flag two entries with the same amount and the same third party less than seven days apart;
- flag invoices from suppliers outside France without VAT reverse charge;
- ignore identical monthly subscriptions listed in an exceptions tab.
The agent stores these rules in its memory and applies them to every file. You can also give it your audit programme as a context file.
A newsletter in your name#
Many firms would like to send a monthly letter to their clients but have no time to write it. A monitoring agent follows tax, employment and legal news (published texts, tax authority guidance, URSSAF announcements), keeps what concerns your clients and writes a clear newsletter, ready in your emailing tool. That is the Firm newsletter template.
An expert review remains essential before sending: a firm's newsletter carries its credibility, and a nuance lost in translation can mislead a client.
Professional secrecy and confidentiality: the rules to set#
A firm handles sensitive data: bank accounts, salaries, personal wealth. A few simple rules:
- Connect only what is strictly necessary. A document collection agent does not need access to your payroll files.
- Ban certain information from messages. For example: never mention a bank balance or a salary amount in an email.
- Check the recipient. For clients with several contacts, record in the portfolio who receives what.
- Keep human approval on anything that looks like advice or interpretation.
A Future Agent account's data is only visible to that account's agents. The shared memory between your agents never leaves the account.
A month in a six-person firm#
To see the practical effect, follow a modest-sized firm: one chartered accountant, five staff, about two hundred files for very small businesses and freelancers.
- On the 3rd, the collection agent sends each client the list of transactions without a document. Staff no longer write these emails; they only receive a summary copy per portfolio.
- On the 10th and 17th, reminders go out for incomplete files. The list gets shorter each time because clients know exactly what is expected.
- Every Monday, the calendar agent sends each accountant the deadlines for their files over the next two weeks, and sends the relevant clients a reminder of the documents to provide.
- During review season, each accountant runs the review agent on a file before opening it: they start with the list of flagged points instead of going through the ledger line by line.
- On the 25th, the chartered accountant receives the draft newsletter for the month. He reviews it, removes a topic that does not concern his clients, clarifies another, and the send is scheduled.
The gain is not measured in one task removed, but in dozens of small interruptions avoided every week.
Setting up your first agents#
- Start with document collection on a small group of willing clients, for example ten clients on the standard regime with regular statements.
- Prepare the portfolio: a spreadsheet with client, regime, year-end, accountant, contact address, preferred channel.
- Describe the task in the chat or start from a template in the accounting library.
- Answer the architect's questions, and connect email and storage in one click.
- Approve the sample message and the monthly price announced before activation.
- Extend to the rest of the portfolio after a month, then add the tax calendar.
An agent's price depends on its complexity, from €3/month and most often between €9 and €49. For a firm running several agents, the Pro and Studio plans include agents and storage. See pricing.
What about the firm's website?#
Future Agent's "project" agents also build hosted websites. The Accounting firm website template produces a site presenting your services, your team and a contact form, which you refine in the chat before publishing.
